We are looking for an experienced Administrator/ Events Co-ordinator to join a highly regarded and leading industry yacht brokerage house in Mallorca. You will be based in their Mallorca office and be in charge of the day to day running of the office.
We are looking for candidates who are able to read and write in English and be fluent verbally in Spanish and German also. You will already be based in Mallorca.

Requirements:

  • Full International or Spanish drivers licence
  • Right to work in Spain
  • Excellent checkable references
  • English, German and Spanish language required
  • At least 5 years in an administrational role
  • Knowledge of Microsoft office package and Outlook

About the role:

  • Job Location: Mallorca
  • Start Date: Flexible, but as soon as possible
  • Contract: Full-time, Permanent
  • Working Pattern: Monday to Friday. This positions working pattern is a 5 day week however the position will also require flexibility to work some weekends and bank holidays and ability to travel to boat shows when necessary
  • Holiday Package: Standard Spanish contract
  • Salary: Excellent package 
Duties include however are not limited to the below
  • Operate the switchboard in a professional manner and pass messages to individuals as required
  • Maintain good management of boat keys and keep all secure
  • Report on any problems with regard to IT hardware, software and/or connectivity issues
  • Monitor, control and order office supplies
  • Arrange services (boat lifts and launches) with marinas
  • Provide ad-hoc support for all secretarial functions if and when required
  • Process supplier invoices
  • Match invoices to PO or obtain the correct authorization
  • Post petty cash, manual expense claims through the purchase ledger
  • Process monthly credit card statements
  • Assist with petty cash/credit cards monthly reconciliations
  • Health & Safety checks, compliance, arrange training
  • Control car parking passes
  • Translation with Government departments
  • Arrange and book staff travel
  • Personal Assistant to General Sales Manager and Sales Manager
Events / Marketing
  • Collate and post Balearic social media content
  • Arrange cruising itineraries and marina / restaurant bookings as requested
  • Arrange Palma Boat Show
  • Arrange local pop-up Sales and Owner Events
  • Ensure office window displays are current and up to date
  • Document translations
  • International Boat Show attendance and logistics
  • Research, develop and build strategic partnerships on the Islands
Berthing Administrator
  • Assist sales and customers in seeking berth opportunities for boat sales or movements
  • Process berth and utility invoices from Marinas through computer system
  • Keep an accurate log of berth payments and receipt of income
  • Network with local marinas and mooring brokers
  • Arrange moorings for stock boats and report on budgets

Work Experience Requirements:

All applicants must have previous experience in working on a Yacht.

Language Requirements:

Good knowledge of the English language is required.

Certificates and Qualifications:

A valid STCW Basic Safety Training certificate is required from all applicants. Please sign up for an STCW course and obtain the certificate if you don't have it yet.
