MYS has a fabulous opportunity for a former superyacht stewardess looking for a career change in Sydney
Reports to Executive Assistant to the Chairman
Location : Clarence Street, Sydney CBD


The Role
The Executive Coordinator performs administrative and office support duties within the Executive
Chairman’s office as required. In addition to the day-to-day tasks associated with the role, the
Executive Coordinator will have an obligation to support the key values of the company

Key Accountabilities and duties (not limited to):


1. Report to and assist Executive Assistant

  • Provide administrative assistance to the Chairman’s Executive Assistant, and assistance to the Chairman and his family including but not limited to running errands, research as required.
  • Assist Executive Assistant with Travel itineraries and travel arrangements.
  • Assist with preparation of business travel packs.
  • Assist with breakfast, lunch, and tea/coffee for the Chairman.
  • Assist with preparation of reports and documentation.
  • Assist with Chairman’s wardrobe liaising with EA and House Manager.
  • Assist with restaurant bookings and diarise.
  • Assist EA with Chairman’s calendar.
  • Handling communications with some guidance on behalf of the Executive Assistant including diary and telephone calls, and follow-up on pending matters.
  • Exchange and obtain information for and from senior management and external clients and suppliers.
  • Assist with events’ Agendas e.g. Private Superyacht
  • Manage and arrange couriers.
  • Assist with ad-hoc administration as required.
  • Collect and open mail, packages, PO box and provide to EA – allocate actions.
  • From time to time you may be required to assist the EA with personal items for the EA.
  • Picking up the Chairman’s car from his private residence as required.


2. Reception

  • Manage Reception L5 including welcoming guests – announcing them to EA / Chairman.
  • Manage boardroom set up e.g., water for meetings and offering coffee/tea to company executives and guests; catering as required.
  • Function and Board Meeting coordination – catering arrangements and room set up.

3. Office / Administration

  • Manage, update, organise and maintain impeccable records and filing systems, including archiving.
  • Manage maintenance of Chairman and his family’s cars (administration including registrations, CTP, petrol, cleaning, service).
  • Manage currency of principles family passports, licences, IDs, etc.
  • Manage and maintain appropriate levels of office supplies, stationary, office equipment including ensuring all photocopiers and printers are stocked with paper in the mornings.
  • Wastepaper bins emptied and shredding completed at the end of each day.
  • Manage and monitor office maintenance issues. Create, manage, and maintain office manuals.
  • Create and manage Executive office inventories.
  • Ensure and maintain daily cleanliness of the Executive office, including the Chairman’s personal office, the Boardroom and kitchen ensuring all are well stocked and professionally presented at all times.
  • Manage laundry and cleaners (in assistance with Office Manager).
  • Manage weekly grocery shopping for office pantry as required including unpacking and cross checking.
  • Manage Chairman, EA, and Principles family subscriptions.


4. Accounts

  • Daily live input of monthly credit card reconciliations (Chairman, EA to Chairman). Approval required by EA before submitting via Expensify.
  • Assist with office related and personal payments.
  • Create, manage, and maintain financial records to support reconciliations.


5. Compliance

  • Always maintain confidentially and privacy in respect of any communications.
  • Ensure company policies and procedures are always adhered to


6. Personal

Salary: $75,000 - $80,000 AUD + Super (with room for progression, bonuses on performance)
