Conceptum trimaran superyacht is looking for a Yacht Administrator.

What will you do?

• He/she will ensure that all crew certification is kept up to date
• He/she will ensure that all HR files of the staff are updated
• He/she will be responsible for any VISA issues
• He/she will ensure to record and monitor all payments done for either the staff or for renovation-decoration works within the yacht
• He/she will ensure to schedule all payments to be done and inform the accountancy department
• He/she will ensure that all Yacht’s car fleet documents are updated
• He/She ill ensure that all daily renovation/decoration works are daily noted in the respective file as well as to have photos per each one of them per day
• He/she ensure daily communication and coordination of the yacht’s staff during renovation works
• He/She will ensure to organize, to coordinate all staff working for the renovation of the Yacht at the shipyard
• He/She will ensure close collaboration with architect and decoration staff
• He/she will ensure daily monitoring of all works and report on a daily basis to the management
• He/she will ensure to take offers regarding any purchase needed for the Yacht
• He/she will ensure smooth coordination of providers during their visit on the boat
• He/she will ensure daily monitoring and reporting of the daily progress of all kind of works.
• He/She will be responsible for Shore support
• He/she will be in liaison with Shipyard staff
• He/she will keep certificates and records on file and up-to-date, upload and download accounts, photos, forms and certificates.
• He/She will monitor monthly budgets, communicate/anticipate, purchasing and spending thresholds, VAT, invoices and payments, client funds and funds requests.
• Assist with technical support, internal audits, SSP reviews and manuals
• Coordinate insurance, vendor service contracts.
• Provide shore support and assistance to yacht as needed; problem solving and decision making with an awareness of possible consequences.
• He/she will be in contact with travel agencies, concierge to create a sales network
• He/she will make e- researches regarding potential collaborations with chartering, brokers and events organisation agencies.
• He/she will take part in Yacht Exhibitions within Greece

What will make you the ideal candidate?

• 2+ years industry specific experience required. Experience in a similar role would be ideal or relevant sea –going experience in a senior position.
• Practical knowledge of yacht operational standards and procedures
• Excellent communication skills, written and verbal required to liaise confidently and professionally with colleagues, clients, captains and crew.
• Familiarity with technical renovation works in terms of organisation and daily follow up would be highly appreciable.
• Familiarity with financial statements and reporting.
• Ability to multitask.
• Above average IT skills required, MS Office Suite & Outlook.
• English is the base foreign language
• He/She will demonstrate significant experience and knowledge of the yachting industry.
• Excellent organisation and time management skills
• Passionate with the yacht industry
