We are working with an established family office to help them hire a bright, eager, and dedicated Executive Assistant to join its highly successful multi-billion-dollar private investment office in downtown Fort Worth. This person will be part of an EA team led by a 25-year veteran of the firm, all of whom assist the CEO in managing personal and business scheduling, travel coordination, organizational matters, and research projects.

The role covers a variety of projects across an array of disciplines, keeping the work fast-paced and ever-changing. The successful candidate will be highly organized and excellent with detail, comfortable managing complex private air travel arrangements, and confident using AI tools to enhance productivity and support decision-making.

This is a full-time, office-based position, Monday to Friday from 8am to 6pm (approximately 50 hours per week), with some weekend work required. The role is based in Fort Worth, and relocation assistance may be available for the right candidate.

Must hold a US passport or the right to work in US.

Key Responsibilities

  • Support the Executive Assistant team with complex calendars and schedules.
  • Coordinate all aspects of private air travel with extensive hands-on experience.
  • Manage vendors and serve as a key liaison on their behalf.
  • Oversee general operational functions within the EA team.
  • Research and develop new ideas and projects.
  • Handle a wide variety of projects across multiple disciplines.
  • Assist with organizational matters and day-to-day administrative tasks.
  • Provide seamless support to the CEO across personal and business matters.
  • Maintain the highest level of confidentiality and discretion at all times.
  • Use AI tools such as ChatGPT, Copilot, and Claude to enhance productivity and workflow.
  • Identify and implement AI-driven solutions to automate repetitive tasks and support decision-making.
  • Anticipate needs and manage competing priorities in a fast-paced environment.

Ideal Candidate

  • 5+ years' experience in an executive admin role supporting a UHNWI or C-suite executive at a substantial business enterprise.
  • Extensive, hands-on experience scheduling and managing private air travel.
  • Incredibly organized and detail-oriented.
  • Demonstrable, hands-on experience with AI tools (e.g. ChatGPT, Copilot, Claude) to enhance productivity.
  • Able to demonstrate AI-driven solutions used to automate repetitive work, synthesize information, or support decision-making.
  • Comfortable working in a fast-paced, ever-changing environment.
  • Based locally in Fort Worth, or willing to relocate.
  • Willing to work from the office five days a week.
  • Flexible to work occasional weekends as required (This would be remote).

  • Working schedule: Monday to Friday, 8am–6pm (approx. 50 hours per week), plus some weekend work.

  • Salary: $150,000 - $180,000 per year plus bonus, competitive with market and depending on experience.

Work Experience Requirements:

All applicants must have previous experience in working on a Yacht.

Language Requirements:

Good knowledge of the English language is required.

Certificates and Qualifications:

A valid STCW Basic Safety Training certificate is required from all applicants. Please sign up for an STCW course and obtain the certificate if you don't have it yet.
