We are working with a UHNW client, a strategic investor in early-stage health and wellness brands, for whom bringing health and wellness to others is a core mission, to help them hire a full-time Executive/Personal Assistant. This is a fully remote, London-based role, acting as the single trusted gatekeeper between the principal and the operational demands of running multiple ventures. The successful candidate will own the principal's calendar, travel, correspondence, and life logistics end-to-end, ensuring his time is fully protected, nothing falls through the cracks, and decisions he doesn't need to make never reach him.
The role spans calendar and diary management, travel and logistics, correspondence and cross-team coordination across the principal's ventures (including multiple ventures and a podcast), household management from his London base, and confidentiality around sensitive personal, financial, and commercial information. Same-day, in-person availability is required, and the role reports directly to the principal, liaising closely with senior team members.
Occasional travel with the principal is required a few times a year, so flexibility around scheduling and last-minute changes is essential.
Key Responsibilities :
- Own the principal's calendar across all ventures, meetings, calls, travel, personal appointments, and deadlines
- Proactively identify and resolve calendar conflicts before they reach the principal
- Add all confirmations (flights, events, invitations) to the calendar same-day, correctly tagged and timezone-adjusted
- Make independent calls on ambiguous requests, deciding what needs the principal's input and acting on the rest
- Build and maintain a travel booking system, including saved profiles, passport/ID details, and standing preferences
- Verify passenger names against passport/ID details on every booking, without exception
- Plan itineraries around the principal's commitments, factoring in jet lag, back-to-back meetings, and recovery time
- Coordinate travel for accompanying team members, ensuring correct details for each individual
- Triage the principal's inbox daily, flagging priorities, drafting routine responses, and archiving or delegating the rest
- Draft correspondence in the principal's voice for routine matters, RSVPs, and introductions
- Act as first point of contact for anyone trying to reach the principal, protecting his time and attention
- Maintain regular contact across ventures to keep information moving without the principal as the relay
- Own household restocking, coordinate with household staff and services, and handle personal errands and life admin
- Prepare pre-meeting briefing packs, take notes where required, and follow up on action points
- Manage expenses, invoices, and credit card reconciliation, and maintain a living operating manual of preferences, contacts, and standing instructions
Ideal Candidate:
- Proven experience as a PA/EA to a senior executive, founder, or high-net-worth principal
- Exceptional attention to detail, particularly for travel bookings, names, dates, and documentation
- Strong independent judgement, comfortable making decisions and owning outcomes without constant check-ins
- London-based with the ability to handle same-day, in-person tasks
- Excellent written communication, able to draft correspondence in the principal's voice
- Calm under pressure when managing multiple moving parts across time zones
- Prior experience in a private household or UHNW family office setting is an advantage
- Familiarity with the health, wellness, or biohacking space is an advantage
- Experience coordinating across multiple business ventures simultaneously
- Willingness to travel occasionally with the principal
Package :
- Working schedule: full-time, Monday to Friday, with flexibility for occasional evenings and travel with the principal
- 25 days' annual holiday allowance plus bank holidays
