We are working with a private family based in New York to help them find a highly capable and warm-natured Private Family Assistant / House Manager. This is a rare opportunity to join a welcoming household as the family's primary point of support — someone who can reduce the overall mental load, bring a sense of calm and stability, and ensure the home runs smoothly and efficiently.
The family currently employ a full-time Housekeeper and an existing Nanny and have one cat. The successful candidate will work closely alongside this team, taking ownership of household administration, logistics, and day-to-day coordination. This is a full-time, daily position based in New York, with a requirement for both domestic and international travel.
The family are seeking a long-term commitment and will be looking for candidates who demonstrate loyalty and longevity in their previous roles. More than a logistical role, this is a position that calls for genuine emotional intelligence, strong organizational ability, and an instinct for anticipating needs before they arise.
Key Responsibilities
- Manage general family administration including diary management, holiday planning, itineraries, dry cleaning, and coordinating household and vehicle maintenance
- Confidently navigate cities, public transport, airports, and international travel arrangements on behalf of the family
- Undertake grocery shopping and local errands as required
- Book medical, dental, and other appointments for the family; attend veterinary appointments for the family pet
- Assist with packing and unpacking for family travel; research and plan activities, camps, and clubs for trips
- Liaise with the school regarding the children's schedules, progress, and requirements
- Communicate clearly and professionally with the parents regarding schedules, the children's needs, and observations
- Support the teenager as a trusted, positive, and consistent presence in the home
- Provide occasional childcare cover when required, including school pick-ups and ad hoc support in a natural and supportive manner
- Manage household supplies and coordinate with external contractors and service providers
- Organise both digital and physical files and ensure all household systems run efficiently
- Pay household bills and manage financial administration in an organised and timely manner
Ideal Candidate
- Must have the legal right to work in the USA and be based in New York
- Demonstrates longevity and commitment in previous roles; the family are seeking a long-term placement
- Experienced in household management and personal assistant duties within a private family environment
- Strong organizational skills with the ability to manage multiple priorities calmly and efficiently
- Confident driver with a clean license
- Excellent English communication skills, both verbal and written; Italian language skills would be a bonus
- Calm, patient, emotionally intelligent, and highly discreet
- Computer literate — confident booking travel, appointments, and researching activities
- Experienced traveller, both domestically and internationally; able to adapt easily to different time zones
- Highly self-sufficient and proactive; does not require constant direction or oversight
- A natural team player who feels like supportive 'glue' to the family rather than an additional burden

Package
- Working schedule: 50 hours per week, Monday to Friday (flexibility required when travelling)
- All travel expenses covered, including transportation, meals whilst on duty, and phone/roaming access
- Salary: $150,000+ per annum, dependent on experience

Work Experience Requirements:
All applicants must have previous experience in working on a Yacht.
Language Requirements:
Good knowledge of the English language is required.
Certificates and Qualifications:
A valid STCW Basic Safety Training certificate is required from all applicants. Please sign up for an STCW course and obtain the certificate if you don't have it yet.
