Junior Operations Assistant | Fitzrovia, Central London, UK | In the region of £60,000

Overview

We are seeking a highly capable and discreet Junior Operations Assistant to join a busy single family office based in Fitzrovia, London.

This is a varied and hands-on role supporting the smooth running of property, travel, supplier relationships, and wider operational activity across the household and family office.

The environment is fast-paced, and the standards are high. The successful candidate will be a self-starter who takes pride in their work, communicates with confidence and professionalism, and can manage a diverse and ever-changing workload without losing accuracy or composure.

Expectations

The role encompasses responsibility across the following areas:

Property & Maintenance Management

  • Scheduling and attending site visits with contractors and suppliers on behalf of the team.
  • Sourcing and comparing quotes for maintenance and improvement works.
  • Researching and vetting new providers.

Supplier & Vendor Management

  • Making initial contact with suppliers, requesting information and pricing.
  • Presenting findings in a clear, comparable format for review by the team.

Travel Logistics Support

  • Liaising with travel agents and booking platforms to request flight options, transfers and accommodation details.
  • Compiling travel information into clear, well-presented itineraries for review.

Research & Sourcing

  • Conducting supplier, product and service research.
  • Presenting options in a structured format with clear recommendations.

Spreadsheet & Data Management

  • Building and maintaining Excel trackers for property, staffing, costs and scheduling.
  • Keeping all operational records accurate and up to date.

Project & Event Tracking

  • Maintaining live project trackers across multiple workstreams.
  • Monitoring progress against deadlines, flagging delays and ensuring actions are followed up.
  • Tracking logistics and timelines for events, moves, inventories, refurbishments and other scheduled activities.

Presentations & Document Preparation

  • Creating and formatting presentations and Word documents to a high standard.
  • Producing materials suitable for both internal use and client review.

Manuals & Directories

  • Creating and maintaining operational manuals, household guides and standard operating procedures.
  • Building and updating supplier, contractor and contact directories, ensuring all records are current, well-organised and easy to reference.

Administrative Support

  • Diary management support, scheduling meetings and following up on outstanding actions.
  • Filing and general office administration.
  • Creating schedules and rotas for household staff.

Requirements

  • Excellent organisational skills with strong attention to detail.
  • Previous experience in a PA, house management or operations support with an UHNW setting preferred.
  • Applicants must have the right to work in the UK.
  • Proficient in Microsoft Excel, Word and PowerPoint — intermediate/advanced Excel preferred.
  • Confident, professional communicator with strong common sense and a proactive, can-do approach.
  • Comfortable working independently and using initiative.
  • Calm under pressure and able to manage competing priorities without compromising on quality.
  • Discreet and trustworthy, with a clear understanding of the standards expected in a private client environment.

Location

Five days a week based in the London office (near Fitzrovia), with occasional travel for site visits and other operational requirements.

Salary
In the region of £60,000.
