Silver Swan is currently seeking an experienced Family Personal Assistant to support a busy family based in New York City. The successful candidate will be responsible for bringing calm, order, and seamless organisation to the family’s daily life, while ensuring their fast-paced, international lifestyle runs smoothly.
This role is hybrid, not requiring you to be at home all the time once you are settled in. However, expect to be working at the property full-time for your first few weeks. Flexibility is essential, as the family works across multiple time zones and requires someone who can adapt to ever-changing schedules.
The successful PA will work closely with the family to manage complex calendars, children’s schedules, household logistics, and international travel arrangements. This is a deeply personal role requiring the utmost discretion, trust, and reliability.
Candidates MUST have proven experience within a private residence, as opposed to an office environment. You MUST already be based in New York.
KEY RESPONSIBILITIES
- Managing family calendars across both physical (wall) and digital systems (Google Calendar, Microsoft Excel)
- Scheduling children’s activities, appointments, and social commitments with precision
- Planning and coordinating complex domestic and international travel, including flights, hotels, itineraries, and ground logistics
- Liaising with contractors, vendors, and service providers as required
- Providing administrative and tech support, including reminders, scheduling, and light tech coaching
- Offering occasional household oversight to minimise chaos and streamline systems
- Handling last-minute changes with calmness, flexibility, and resourcefulness
IDEAL CANDIDATE
- Proven experience working in private households with children
- 3+ years as a Personal Assistant
- Highly organised, adaptable, and confident, balancing multiple priorities
- Tech-savvy, with the ability to integrate digital and traditional organisational systems
- Calm under pressure, solution-focused, and able to manage change gracefully
- Discreet, trustworthy, and professional at all times
- Flexible to travel and work across different time zones
- Health- and lifestyle-conscious, respectful of an eco-friendly household
PACKAGE
- Salary: $125,000–$150,000 gross per annum (depending on experience)
- Healthcare included
- Hybrid role. Typically Monday – Friday.
- Flexibility is required to accommodate international schedules

Work Experience Requirements:

Language Requirements:
Good knowledge of the English language is required.
Certificates and Qualifications:
