Multi Property Manager – Milan

Silver Swan is currently seeking an experienced Multi-Property Manager with a strong background in luxury hospitality to oversee three high-end private residences located in Milan, London, and Ibiza. This is a remote-first position, however candidates must be based in Milan or within a commutable distance in order to attend personal meetings with the Principal as required.

You will be responsible for coordinating household staff, contractors, and seasonal vendors, while upholding impeccable service levels, organization, and discretion. The role requires hands-on oversight, proactive planning, and the ability to work autonomously while liaising with the Principal’s PA.

Responsibilities:

• Ensure all residences are always maintained to luxury hospitality standards (cleanliness, wardrobes, linens, amenities).
• Oversee seasonal opening/closing of homes (e.g., Ibiza prepared by March, wardrobes rotated Milan–Ibiza).
• Supervise and train live-in/seasonal staff, including housekeepers, chefs, gardeners, and maintenance contractors.
• Schedule and coordinate seasonal hires in Ibiza and Milan, plus permanent support in London.
• Prepare homes ahead of family arrivals (menu planning, shopping, meal prep coordination, groceries, and pantry stocking).
• Manage wardrobes, including seasonal transfers between Ibiza and Milan.
• Liaise with PA on family schedules, travel arrangements, and property logistics.
• Develop and enforce SOPs, checklists, and inventory controls.
• Manage household budgets, track expenses, and oversee simple reporting.
• Coordinate contractors (gardening, pool, maintenance, cars/servicing).
• Monitor properties remotely via installed camera systems.

Ideal Candidate:

• Must hold an EU passport. 
• Proven track record managing multi-property households or high-end operations with staff coordination and vendor oversight.
• Strong organizational, logistical, and budgeting skills with acute attention to detail.
• Highly discreet and trustworthy, with excellent communication and problem-solving abilities.
• Fluent English and Italian speakers
• Flexible and adaptable, able to manage changing family schedules and seasonal demands.
• Milan-based (or nearby), with willingness to travel frequently (long stays in Milan/Ibiza, shorter frequent trips to London).

Package:

• Salary: €70,000–€90,000 gross annually, depending on experience.
• Accommodation: Live-out in Milan; accommodation provided when staying in London/Ibiza.
• Travel: All work-related travel expenses covered.
