Silver Swan is seeking an experienced and highly organised Estate Manager / PA to support a private client with a collection of luxury properties in Barcelona, alongside personal lifestyle and administrative support in Madrid. This is a full-time permanent position based in Spain, working closely with an existing Estate Manager in Seattle and New York.

The successful candidate will manage multiple residences, oversee contractors and renovations, coordinate household staff, and provide detailed personal assistance to ensure the smooth running of the client’s lifestyle. The role requires flexibility, discretion, and exceptional attention to detail.

Responsibilities:

  • Oversee day-to-day operations of multiple high-end residences in Barcelona 
  • Coordinate cleaning staff, maintenance teams, and external contractors.
  • Manage ongoing renovations, furniture procurement, and property upkeep.
  • Liaise with the property management company regarding rentals and tenants.
  • Provide PA support, including diary management, travel arrangements, and household organisation.
  • Ensure seamless logistics between residences, including readiness before/after stays.
  • Travel with the client (including to New York) when required.
  • Assist with relocation and setup of the Madrid residence.
  • Work closely with the legal and financial teams to support contract management and budgeting.
  • Handle invoices, contractor agreements, and property-related documentation.
  • Use digital tools and technology to manage property and personal affairs efficiently.
  • Identify and implement process improvements, bringing fresh ideas to enhance efficiency.

Ideal Candidate

  • Must hold an EU passport or the right to work in Spain. 
  • Must be Fluent in English and Spanish – Catalan is benefitial. 
  • Proven experience as a Property Manager, Estate Manager, House Manager or PA within a private household or luxury property portfolio.
  • Strong business acumen with the ability to liaise confidently with legal and financial teams.
  • Excellent organisational skills and meticulous attention to detail.
  • Tech-savvy with the ability to manage digital systems and streamline processes (Google Suite: GDrive (Folders and Files), GMeet, Gmail, Gcal, GSheets, GDocs, GSlides). Microsoft Suite: S.
  • Flexible, adaptable, and able to work independently while coordinating multiple moving parts.
  • Professional, discreet, and able to maintain strict confidentiality.
  • Comfortable travelling between Madrid, Barcelona, and internationally (mainly New York).
  • Genuine team player, able to work with household staff and external professionals.
  • Design, Architecture, Fashion, and Luxury knowledge and experience are a plus.
